Lead File - Family information retained
Objective
Understand what family information is retained when a family is archived to the Lead File.
Solution
When a family is archived to the Lead File, selected family, billing contact, student, and enrollment information is retained. This information is restored if the family is returned from the Lead File. Information that is not retained cannot be restored automatically, so export the family data before archiving if it may be needed later.
Family information
The following family information is retained:
- Family Name
- Location
- Previous Balance
- Problem Account status
- Registration Agreement(s)
- Family User-Defined Fields
- Source
Billing Contact information
Only the Billing Contact is retained. The following information is preserved:
- First Name
- Last Name
- Contact Type
- Email Address
- Mass Email Opt-Out status
- Home Phone
- Work Phone
- Cell Phone
- Text Opt-In status (if texting is enabled)
Additional contacts are not retained. If needed, export the family before archiving and re-add additional contacts after restoring the family from the Lead File.
Student information
The following student information is retained:
- First Name
- Last Name
- Gender
- Birth Date
- Phone Number
- Email Address
- Student User-Defined Fields
- Student Notes
- Last enrolled Class
Enrollment information
Past enrollment information is retained for families archived on or after November 11, 2015 and remains available in:
- Enroll History
- Enrollment Detail
- Drop History
Other retained information
The following information is also retained:
- Family Notes
Before archiving a family, export any information that is not retained in the Lead File if it may be needed in the future. See Archive a family to the Lead File for instructions.
