Jackrabbit Subscriptions - Monthly fees and billing
Objective
Understand how the monthly Jackrabbit subscription fee is calculated and when payment is processed.
Solution
The monthly subscription fee is based on the total number of Active and Inactive Students in the system. The student count is taken on a random day between the 25th and the end of the month to determine the billing rate for the following month.
How is the monthly subscription fee calculated?
Jackrabbit counts all Active and Inactive Students in the system. Because the total student count can change between billing periods, the monthly subscription fee may also vary from month to month.

Jackrabbit offers subscription options based on business needs and student count.

How can the monthly subscription fee be reduced?
Families in the Lead File and Students placed On Hold are excluded from the student count used to calculate the monthly subscription fee.
Depending on the situation:
- Move an individual Family that no longer needs to remain active to the Lead File. See Archive a family to the Lead File.
- Move multiple Families to the Lead File at once. See Move inactive families to the Lead File.
- Place an Inactive Student in an Active Family On Hold when the Family needs to remain active. See Put a student on hold in an active family.

When is the subscription payment processed?
The Jackrabbit fees are due on the 1st business day of each month.
What happens if a subscription payment fails?
If the credit or debit card used for the Jackrabbit subscription is declined:
- We attempt to run the card on file daily. If there is a decline, an automatic email notification with payment instructions is sent to the billing contact on file.
- If the balance is not paid in full by the 6th, a $25 late fee is added on the 7th.
- If the balance is not paid by the 9th, the Jackrabbit Database will be suspended on the 10th until payment is made.
- To reactivate a suspended account, an approved credit or debit card is needed.
- Bank Drafts are no longer accepted as a payment method.
- If the account remains suspended, the organization's data may be subject to deletion.
- Keep the lines of communication open. If more time is needed to resolve the issue, let us know, and we will be happy to work with you.
