Appointment Fees - Fee Transaction Date When Booking Appointments

Objective

Understand how the Fee Transaction Date setting affects Appointment Fees when an appointment is booked.

Solution

When Post Appointment Fee is enabled on an Appointment Type, the fee is posted to the family's account at the time the Appointment is booked, regardless of which Fee Transaction Date is selected.

The Fee Transaction Date setting for that fee determines the date assigned to the posted transaction. It does not determine when the fee is posted.

Transaction Date options

The Fee Transaction Date can be set to:

  • Date Appointment is Booked - The fee posts when the Appointment is booked, with a Transaction Date matching the date the booking was made.
  • Date of Appointment - The fee posts when the Appointment is booked, but the Transaction Date matches the date of the appointment.

For example, if an appointment is booked on August 25 for September 10:

  • With Date Appointment is Booked, the fee posts on August 25 with a Fee Transaction Date of August 25.
  • With Date of Appointment, the fee also posts on August 25, but its Fee Transaction Date is September 10.

ℹ️ The Date of Appointment setting does not schedule the fee to post on the appointment date. The fee is posted when the appointment is booked; this setting only assigns the appointment date as the fee's transaction date.
