Record a credit card refund using a different payment method

Objective


Record a credit card refund in Jackrabbit when the refund cannot be processed back through the original payment method.

Solution


Credit card refunds are normally processed back to the original card through the processor or gateway used for the payment. If that is no longer possible—for example, because the original card is unavailable or the processor or gateway has changed—record the refund in Jackrabbit and issue the funds using another payment method, such as check or cash.

  1. Go to the Family record > Transactions tab. 
  2. Select the R icon on the original payment transaction line. 
  3. In the Refund Transaction window, select Refund by Different Payment Method > Record Refund in Jackrabbit Only
  4. Update the following fields:
    • Post Date: Change the date, if needed.
    • Refund Method: Select the method used to issue the refund outside Jackrabbit.
    • Note: Enter additional refund details, if needed.
  5. Select the checkboxes for the fees included in the refund, enter the refund amount, and then select Next.
  6. In the Are Fees Still Due? window, select Due or Not Due, based on whether the family still owes the fees.

  7. Select Submit Refund.

ℹ️ This process only records the refund in Jackrabbit. It does not issue funds or transfer the refund to another credit card. Complete the refund outside Jackrabbit using the selected refund method.
