Understand how the Preview Tuition Fees page calculates and displays tuition before fees are posted.
Solution
The Preview Tuition Fees page shows the tuition Jackrabbit calculates from the settings and criteria selected in Post Tuition Fees, allowing fees and totals to be reviewed before anything is posted to Family accounts; the preview can also be used to estimate future tuition revenue.
How does the tuition preview work?
The preview reflects the settings and criteria selected in Post Tuition Fees. Previewing the fees does not post them to Family accounts.
The page provides:
- A data summary with totals for the tuition fees currently selected to post.
- A grid showing the individual tuition fees.
- Links to the related Family, Student, and Class records.
- A Details link showing how an individual fee was calculated.
The totals are dynamic. Selecting or clearing a fee from the posting updates the totals in the data summary.
How does Advanced Detection affect the preview?
When Advanced Detection is enabled, the preview identifies fees that meet the selected detection criteria, including:
- Duplicate Tuition Fee — A Tuition Fee has already been posted to the Family account for the same Student during the selected time frame.
- Dropped Student Fee — The fee is for a Student who enrolled in and dropped from the same non-prorated Class during the Billing Cycle.
- Dropped & Duplicate — The fee meets both conditions.
The Dup Reason column identifies why a fee was detected as a duplicate. Families omitted from tuition posting are also identified in the preview.
Which fees will be posted?
The first column of the preview identifies the fees selected to post.
When Post Now is selected, the selections initially reflect the Advanced Detection settings but can be changed from the preview.
When Post Later is selected, these selections cannot be changed from the preview.
How can the preview estimate future tuition revenue?
The Total Amount in the data summary can be used as an estimate of tuition revenue for the selected Billing Cycle and Advanced Detection settings. No fees need to be posted to use the preview for forecasting.
For a projection covering multiple Billing Cycles, the preview amount may need to be multiplied based on how often tuition is billed. For example, a monthly amount can be multiplied by 12 to estimate a year.
ℹ️ Estimated tuition revenue does not account for future Student enrollments or Students who may drop Classes, so it should be treated as an estimate rather than guaranteed income.
