Promo Codes - An Overview
Promo Codes allow you to offer families percentage-based or fixed-amount discounts during Parent Portal checkout. They can be used to support promotions for eligible activities or registration fees while giving you control over when each code is available and how often it can be redeemed.
Promo code usage is recorded with the resulting transactions and can be reviewed through the Promo Code report, providing a complete path from creating a promotion to tracking its results.
🚀 Get started with Promo Codes
Access to Promo Code settings requires the Edit Tuition Defaults User Permission.
Access to the Promo Code report is controlled separately through the View Promo Codes Reporting User Permission.
Promo Codes are managed in the Tuition & Discounting settings from the Gear icon.
Before creating a promo code, determine whether the discount will be a percentage or fixed amount and whether it will apply to activity fees or registration fees.
For activity fee discounts, consider which individual activities or Category 1 groupings should be eligible.
Decide when the promotion should be available and whether limits are needed for total redemptions, redemptions per family, or both.
📋 How Promo Codes work
A promo code is created with either a percentage-based or fixed-amount discount.
The promo code is configured for either eligible activity fees or registration fees.
Activity fee promo codes can be associated with specific classes, camps, events, appointment types, or activities sharing a selected Category 1 value.
Registration fee promo codes apply to registration fees during checkout.
Active dates and optional expiration dates control when the promo code is available.
Redemption limits can control how many times the code may be used across the organization, by an individual family, or both.
Families enter the promo code during Parent Portal checkout.
Jackrabbit applies the discount to eligible items in the cart without reducing an item below zero.
When a promo code is redeemed, the code and discount details are displayed in the transaction grid in the Family record.
The Promo Code report (Reports menu > Transactions/Financials section) provides redemption information for reviewing and evaluating how promotions have been used.
Changes to promo codes are recorded in the User Activity report.
